Getting Started: Verifying a Business Client

Business verification is a guided, four-step process attached to a business client's record: Upload, Business, Owners, and Activity. A stepper lets you jump directly to any step, in any order, and everything you enter is saved as you go, including documents already uploaded, so you can leave partway through and pick back up later.

A compliance status badge on the client's record shows where verification stands. Once you submit, the badge changes to "In progress" and the case moves into Remitian's review queue.

What the four steps cover

  1. Upload — supporting documents for the business.
  2. Business — see "Entering Business & Activity Details" below.
  3. Owners — the business's owners and anyone holding a role such as director, with their ownership percentage. See "Adding Owners, Directors & Beneficial Owners" below.
  4. Activity — see "Entering Business & Activity Details" below.

Fields across the Business and Activity steps are optional at the data level, and the owner list is optional too — though any owner you start entering must be completed before it will save. When you're ready, use the submit-verification action to send the case for review.

Entering Business & Activity Details

The Business and Activity steps capture the following about the business. All fields are optional and can be left blank without error:

  • GST/HST registration
  • Mailing address — only asked for separately if it differs from the business's registered address; a "same as registered address" checkbox skips this when checked
  • Primary business activity
  • Secondary business activity
  • NAICS code
  • Estimated annual revenue range
  • Number-of-employees range
  • Estimated expected payments

Everything you enter is saved as you move between steps, and reloads correctly if you leave and come back.

Adding Owners, Directors & Beneficial Owners

The Owners step captures who owns or holds a role in the business. You can add as many owners as apply — the list is optional, but any owner you start must be completed before it will save.

For an individual owner, enter:

  • Name
  • Ownership percentage
  • Role (for example, owner or director)

For a company owner, enter:

  • Legal name
  • Entity type
  • Jurisdiction
  • Business number
  • Ownership percentage
  • Relationship type

A company owner can itself have related parties nested underneath it, so you can represent a parent company alongside its own owners in the same list.

Resubmitting the owner list replaces it entirely, so make sure everyone who should be included is in the list before you save.

Uploading & Managing Verification Documents

The Upload step is where you attach supporting documents for the business. You can upload multiple files and choose a document type for each from a list that includes an "Other" option for anything that doesn't fit a specific category.

If you reopen the wizard later, any documents you have already uploaded are listed with a working download link, so you can confirm what's on file or pull a copy.

To remove a document, use the trash icon next to it in the list. This deletes the file from Remitian's storage, not just from the screen, so it won't reappear if you reopen the wizard later.
