Managing Firm Settings and Personal Account

This SOP outlines the steps to manage general settings, white labeling, and personal account settings for your firm to ensure accurate information and branding.

Key Steps

1. Manage General Settings

  • Navigate to the General Settings section.
  • Ensure the following information is accurate:
    • Company Name
    • Website
    • Address
    • Country
    • City
    • State
    • Zip Code
  • This information will be used in white labeling emails.

2. Configure White Labeling Settings

  • Go to the White Labeling tab.
  • Upload your logo:
    • Size: Approximately 500 x 500 pixels.
    • Accepted formats: PNG, JPG, SVG.
    • You can upload or drag and drop the file.
  • Select your brand color:
    • Match visually or use a hex code or RGBA.
  • Ensure that these settings reflect in client communications such as reminders and payment updates.

3. Set Internal Approval for Payments

  • Determine if team members can view clients and schedule payments.
  • If enabled, all new schedules will be routed to your inbox labeled Awaiting Account Approval.
  • If unchecked, payments will not require internal approval.

4. Access Personal Account Settings

  • Click on the circle with your initials in the top right corner to access My Account.
  • Edit personal information:
    • Name
    • Phone Number
    • Email Address
  • Change your password if necessary.

5. Adjust Email Digest Frequency

  • Choose the frequency for email digests based on client activity:
    • Options: Daily or Weekly.
  • Emails will only be sent if there is new activity.
  • Subscribe or unsubscribe from these digest reports as needed.

  • Ensure all information is accurate to maintain professionalism and trust with clients.
  • Review internal approval settings carefully to avoid unauthorized payment scheduling.

  • Regularly update your general settings to reflect any changes in your firm.
  • Use high-quality images for your logo to enhance branding.
  • Set a consistent email digest frequency that works best for your workflow.
